Position Summary:

 

As the Executive Assistant supporting the Chief Information Officer as well as the Chief Human Resource Officer, you will oversee all administative operations for these key senior executives. Your expertise, unparalleled discretion, professional agility, and honed attention to detail will be essential to collaborating and driving specific projects and deliverables. Working at our headquarters located at The Domain, you will be an instrumental and valued extension of the efforts of these organizational leaders and their respective staffs by:

  • Managing incoming calls and visitors for principal(s) to ensure high customer service and responsiveness.
  • Creating and editing correspondence, presentations, and surveys.
  • Arranging and participating in meetings, conferences, and project team activities.
  • Managing, organizing, and updating relevant confidential data into documents, reports, presentations and email using computer applications.
  • Arranging and coordinating complex travel reservations and expense reimbursement.
  • Researching and investigating information to enable strategic decision making by others.
  • Organizing and executing special business related projects
  • Assisting in on-boarding new employees
  • Operating a variety of standard office machines, including a personal computer and software, phone, fax, calculator, shredding machine and photocopy machine.
  • Building effective working relationships with senior Hanger executives, their teams and other executive assistants to ensure optimal service and office/phone back up plans.
  • Adhering to stated policies and procedures relating to health and safety, and quality management.
  • Adhering to procedures relating to the proper use and care of equipment and materials for which the role has responsibility.
  • Creating and maintaining organized filing system.
  • Ordering and maintaining relevant office supplies for effectiveness of personal duties.

Responsibilities

  • Requires excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, peers, as well as outside clients and vendors. 
  • Due to the nature of multiple contacts, the position requires poise and people skills.
  • Must be able to trouble-shoot, assist, and/or determine when issues requiring the assistance or support of other company functions and services.
  • An ability to work independently with a sense of urgency and requisite skills to manage priorities in a dynamic multi-tasking work environment.
  • Ability to anticipate executive needs.
  • Experience with handling information and discussions of a confidential nature.
  • Natural ability to become a trusted and valued team-member and contributor.
  • Requires exceptional computer and internet research skills including Windows Internet Explorer, Microsoft Outlook, Word,Excel and PowerPoint, as well as payroll systems.
  • Strong detail orientation, accuracy and ethical behavior.
  • High energy, flexibility and self-motivation.

Qualifications

  • High School diploma, GED, or specialized training in related area OR an equivalent combination of education and experience supporting senior level executives required. Bachelor's degree is strongly preferred.
  • A minimum of 5 years of related professional experience supporting senior executives with all office administrative needs to include travel coordination, scheduling, and expense reconciliation is required.
