Overview:

 

This position supports lease administration within Real Estate department and responsible for review, verification and processing of all rent related charges invoiced or due in accordance with lease & owned documents in the Company portfolio. 

Responsibilities

  • Assist with TIA collections. Gather documentation required to collect and communicate with the landlord and track efforts;
  • Administer sub-tenant receivable leases, including billing and collection, ensure database is current, assist with tracking payments received, subtenant liaison;
  • Generate, publish and distribute lease expiration report;
  • Process pre-paid rent payments in a timely manner (including security deposits), track all payments;
  • Process special onetime payments in a timely manner, due to true-up after reconciliations, or rate increases;
  • Assigned CAM and OPEX reconciliations done in a timely manner, to be submitted for review to either Administrator III or manager;
  • Troubleshooting Landlord issues, landlord liaison;
  • Process and coordinate change of ownership and or management, with AP, new owners, update in database;
  • Set-up new vendors related to new leases, coordinate with landlord, AP, add vendor to database and link to lease;
  • Provide OE estimates in a timely manner, for the administrator III or manager to update in the database;
  • Communicate to the manager, by the Tuesday of the week, rent batch payments are made, which lease rent payments to hold for one-off payments;
  • Prepare in advance the identified one-off rent payment requests. So they may be processed and mailed in order to meet the first of the month requirement for rent payments. Any exceptions would be where we are not in receipt of the back-up documentation.
  • Upon receipt of documentation to process one-off rent payments, pay requests are to be processed immediately;

Qualifications

  • College degree preferred.
  • Minimum of 2 years of current commercial lease administration experience
  • Strong analytical and organizational skills
  • Understanding of lease terminology, calculations, financial terms and principles required
  • Build and maintain spreadsheets, access and analyze financial data per lease
  • Must have customer-oriented interpersonal skills as well as excellent verbal and written communication skills
  • Must be highly organized, have strong attention to detail and proven advanced planning skills
  • Ability to multi-task and manage multiple priorities simultaneously
